DOCSORA REFUND & CANCELLATION POLICY
Effective Date: 29 October 2026
IMPORTANT NOTICE
This Refund & Cancellation Policy (“Policy”) governs all subscription payments, recurring billing, automatic renewals, cancellations, refunds, payment disputes, and related billing matters concerning the Services provided by Docsora Technologies LLC Fz (“Docsora,” “Company,” “we,” “our,” or “us”).
Docsora provides a cloud-based document productivity and workflow automation platform, including Docsora Flows, Sign, Transfer, Track, Storage, document utilities, artificial intelligence functionality, and associated Services.
This Policy applies to individual customers, businesses, small and medium-sized enterprises, and other organisations subscribing to Docsora’s paid Services.
This Policy forms part of Docsora’s Terms and Conditions of Use and should be read alongside those Terms, the Privacy & Data Protection Policy, and any applicable enterprise agreement.
By purchasing a paid Subscription, you authorise the recurring billing arrangement disclosed at checkout. Your Subscription will automatically renew and your designated payment method will be charged at the applicable monthly or annual interval unless you cancel the Subscription before renewal.
A new service agreement is not required for each renewal. Your existing Subscription continues until cancelled or otherwise terminated in accordance with the applicable terms.
Nothing in this Policy excludes, restricts, or modifies any consumer right, refund entitlement, or legal remedy that cannot lawfully be excluded, restricted, or modified.
PART A - SUBSCRIPTIONS AND RECURRING BILLING
1. SUBSCRIPTION MODEL
1.1 Docsora offers free and paid subscription plans.
1.2 Paid Subscriptions are provided on a recurring monthly or annual basis, depending on the plan selected by the Customer at the time of purchase.
1.3 Customers select their preferred billing interval during the subscription process.
1.4 The applicable subscription price, billing interval, included features, and relevant limitations will be disclosed before purchase.
1.5 By completing a paid subscription purchase, the Customer enters into an ongoing subscription agreement with Docsora.
1.6 The Subscription continues automatically from one billing period to the next unless cancelled or otherwise terminated in accordance with this Policy.
1.7 Customers are not required to enter into a new service agreement or provide fresh contractual acceptance at the beginning of each monthly or annual renewal period, except where additional acceptance is required by Applicable Law or because of a material change to the applicable contractual arrangement.
1.8 The original subscription agreement remains effective throughout the Subscription, subject to valid amendments and applicable legal requirements.
1.9 Customers are responsible for reviewing their selected plan and billing interval before confirming their purchase.
2. MONTHLY SUBSCRIPTIONS
2.1 Customers selecting a monthly Subscription authorise Docsora or its designated payment provider to charge the applicable subscription fee on a recurring monthly basis.
2.2 The initial charge is made when the paid Subscription begins, unless a different commencement date is expressly disclosed.
2.3 Subsequent charges are automatically processed on the applicable monthly renewal date.
2.4 The Subscription renews automatically each month unless cancelled before the relevant renewal.
2.5 Monthly renewals do not require the Customer to enter into a new service agreement.
2.6 The applicable recurring charge remains subject to any validly notified pricing changes, plan modifications, taxes, or other authorised adjustments.
2.7 Customers remain responsible for subscription fees validly incurred before cancellation takes effect.
3. ANNUAL SUBSCRIPTIONS
3.1 Customers selecting an annual Subscription authorise Docsora or its designated payment provider to charge the applicable annual subscription fee on a recurring yearly basis.
3.2 The initial annual charge is made when the paid Subscription begins, unless a different commencement date is expressly disclosed.
3.3 Subsequent annual charges are automatically processed on the applicable annual renewal date.
3.4 The Subscription renews automatically each year unless cancelled before the relevant renewal.
3.5 Annual renewals do not require the Customer to enter into a new service agreement.
3.6 Annual subscription fees are ordinarily charged in advance for the applicable twelve-month billing period.
3.7 Annual Subscriptions are subject to the cancellation and refund provisions of this Policy.
3.8 Unless required by Applicable Law or expressly agreed otherwise, cancelling an annual Subscription does not automatically entitle the Customer to a prorated refund for the unused portion of the annual billing period.
4. AUTOMATIC RENEWAL AND CONTINUOUS PAYMENT AUTHORISATION
4.1 Automatic renewal is a standard condition of every Docsora paid Subscription.
4.2 By selecting and purchasing a paid Subscription, the Customer expressly authorises Docsora and its designated payment provider to charge the selected payment method automatically at the applicable monthly or annual billing interval.
4.3 This authorisation continues for the duration of the Subscription unless:
(a) The Customer cancels the Subscription;
(b) The Subscription is terminated in accordance with the applicable agreement;
(c) The payment authorisation is otherwise lawfully withdrawn; or
(d) Applicable Law requires the billing arrangement to end.
4.4 Customers acknowledge that recurring charges are part of the original subscription arrangement and do not require a new purchase order, service agreement, or separate payment authorisation for each renewal, except where required by Applicable Law or an applicable written agreement.
4.5 The Customer’s designated payment method may be charged automatically without further action by the Customer at each renewal.
4.6 Docsora will clearly disclose the automatic-renewal arrangement during the initial subscription process.
4.7 Customers are responsible for cancelling their Subscription before the next renewal if they do not wish to continue receiving paid Services.
4.8 Docsora will provide any advance renewal notices, reminders, confirmations, or additional consent mechanisms required by Applicable Law.
4.9 Nothing in this Section authorises Docsora to charge a Customer after a valid cancellation has taken effect.
5. SUBSCRIPTION BILLING DATES
5.1 The Customer’s initial paid subscription date ordinarily establishes the applicable recurring billing schedule.
5.2 Monthly Subscriptions renew at approximately monthly intervals according to the applicable billing system.
5.3 Annual Subscriptions renew at approximately yearly intervals according to the applicable billing system.
5.4 Billing dates may be adjusted where necessary because of calendar differences, payment processing requirements, plan changes, or other legitimate operational circumstances.
5.5 Where a billing-date adjustment materially affects the Customer’s agreed payment obligations, Docsora will provide any notice or obtain any authorisation required by Applicable Law.
5.6 The applicable renewal date may be displayed within the Customer’s Account billing information.
5.7 Customers should review their billing information to understand the date on which the next recurring charge is scheduled.
6. INVOICES AND PAYMENT RECEIPTS
6.1 Docsora provides Customers with an invoice and payment receipt by email for each monthly or annual billing cycle.
6.2 Invoices and receipts are sent to the billing email address associated with the Customer’s Account or another authorised billing contact.
6.3 The relevant documents may include:
(a) Customer or organisation name;
(b) Subscription plan;
(c) Billing period;
(d) Subscription fees;
(e) Applicable taxes;
(f) Total amount charged;
(g) Payment status;
(h) Transaction reference; and
(i) Other information required by Applicable Law.
6.4 Customers are responsible for maintaining accurate billing contact information.
6.5 Customers should promptly notify Docsora if they do not receive an expected invoice or receipt.
6.6 Delivery of an invoice or receipt does not constitute a new subscription agreement.
6.7 A recurring invoice or receipt is a record of the applicable billing transaction, not a request for the Customer to renew or reaccept the Subscription.
6.8 A payment receipt will reflect the relevant payment status and will not represent that an unsuccessful payment has been completed.
6.9 Docsora will issue tax invoices and other billing documentation in accordance with applicable tax and invoicing requirements.
7. PAYMENT METHODS AND AUTHORISATION
7.1 Customers must provide a valid payment method when purchasing a paid Subscription.
7.2 By completing the purchase, the Customer authorises the recurring charges associated with the selected plan.
7.3 Customers must maintain accurate and current payment information.
7.4 Docsora may use authorised third-party payment providers to process subscription payments.
7.5 Payment processing may be subject to the relevant provider’s terms and security requirements.
7.6 Docsora may retain transaction references, billing records, and payment status information as described in its Privacy & Data Protection Policy.
7.7 Customers remain responsible for valid subscription charges incurred before cancellation takes effect.
7.8 Docsora will not impose recurring charges that were not disclosed or otherwise validly authorised.
8. SUBSCRIPTION PRICING
8.1 The applicable subscription price will be displayed before the Customer completes the purchase.
8.2 Prices may vary according to:
(a) Selected plan;
(b) Billing interval;
(c) Included features;
(d) Storage allowances;
(e) Usage allowances;
(f) Additional services; and
(g) Applicable promotional offers.
8.3 Taxes may be included in or added to displayed prices as required by Applicable Law.
8.4 Customers are responsible for reviewing the total amount payable before confirming their purchase.
8.5 Subscription prices remain subject to validly notified pricing changes.
9. PRICE CHANGES
9.1 Docsora may change subscription prices from time to time.
9.2 Where a price increase affects an existing recurring Subscription, Docsora will provide advance notice in accordance with Applicable Law and the applicable agreement.
9.3 Docsora will ordinarily provide at least thirty (30) days’ advance notice of a material price increase affecting an existing recurring Subscription, unless a different period is required by law or the change results from circumstances lawfully permitting shorter notice.
9.4 A new recurring price will ordinarily take effect at a future renewal rather than retroactively during an already-paid billing period.
9.5 Customers may cancel their Subscription before the new price takes effect.
9.6 Where Applicable Law requires affirmative acceptance of a pricing change, Docsora will obtain that acceptance.
9.7 Continued use will not be treated as sufficient consent where Applicable Law requires a different form of authorisation.
PART B - SUBSCRIPTION CANCELLATION
10. CUSTOMER RIGHT TO CANCEL
10.1 Customers may cancel their paid Subscription at any time.
10.2 Subscription cancellation is managed through the Billing section of the Customer’s Docsora Account.
10.3 Customers wishing to stop automatic renewal must complete the cancellation process before the next renewal charge is processed.
10.4 Upon successful cancellation, automatic renewal will be disabled for the cancelled Subscription.
10.5 The Customer will not be charged for subsequent renewal periods after cancellation takes effect, except for valid outstanding charges or separately authorised purchases.
10.6 Cancellation does not ordinarily reverse charges validly incurred before the cancellation became effective.
10.7 Docsora will provide a cancellation confirmation through the Account interface, email, or another appropriate method.
10.8 Customers experiencing a technical problem that prevents cancellation through the Billing section may contact contact@docsora.com for assistance.
10.9 Where Applicable Law requires an additional or alternative cancellation method, Docsora will make that method available.
10.10 Docsora will not intentionally impose unreasonable barriers to cancelling an active Subscription.
11. WHEN CANCELLATION TAKES EFFECT
11.1 Unless otherwise disclosed or required by Applicable Law, cancellation prevents the next automatic renewal.
11.2 Customers who cancel during an active paid billing period will ordinarily retain access to their paid Subscription until that period ends.
11.3 Cancellation does not automatically shorten an already-paid billing period.
11.4 Cancellation does not ordinarily create an entitlement to a refund for the remaining unused portion of that period.
11.5 Any applicable statutory cancellation or refund rights remain unaffected.
11.6 Customers are responsible for reviewing the effective cancellation date displayed or confirmed by Docsora.
12. CANCELLATION BEFORE RENEWAL
12.1 Customers who do not wish to renew must cancel before the applicable renewal charge is processed.
12.2 Where cancellation is successfully completed before renewal, Docsora will not intentionally charge the Customer for the next billing period.
12.3 Customers should not rely solely on removing payment details, deleting an application, or ceasing to use the Services as a method of cancelling a Subscription.
12.4 A valid cancellation must be completed through the supported cancellation process or another method required by Applicable Law.
12.5 If Docsora fails to honour a valid cancellation and subsequently charges the Customer, the charge will be investigated and corrected as required by Applicable Law.
13. CANCELLATION AFTER RENEWAL
13.1 Where a Subscription has validly renewed before cancellation, the renewal charge is ordinarily payable.
13.2 Cancellation following renewal generally prevents the next renewal rather than reversing the current billing period.
13.3 The Customer will ordinarily retain access through the current paid period.
13.4 Refunds may nevertheless be available where required by Applicable Law, because of a verified billing error, or under another express provision of this Policy.
13.5 A Customer’s failure to use the Services after a valid renewal does not, by itself, create a refund entitlement.
14. MONTHLY SUBSCRIPTION CANCELLATION
14.1 Customers may cancel a monthly Subscription through their Account Billing section.
14.2 Cancellation ordinarily prevents the next monthly renewal.
14.3 The Customer generally retains access until the end of the current paid monthly period.
14.4 Unused days in the current monthly billing period are not ordinarily refundable.
14.5 Mandatory statutory rights remain unaffected.
15. ANNUAL SUBSCRIPTION CANCELLATION
15.1 Customers may cancel an annual Subscription through their Account Billing section.
15.2 Cancellation ordinarily prevents the next annual renewal.
15.3 The Customer generally retains access until the end of the current paid annual period.
15.4 Unless required by Applicable Law or expressly agreed otherwise, Docsora does not provide prorated refunds solely because an annual Subscription is cancelled before the end of its term.
15.5 Customers are responsible for reviewing their annual renewal date and cancelling before renewal if they do not wish to continue.
15.6 Docsora will provide any annual renewal notices or cancellation rights required by Applicable Law.
PART C - REFUNDS
16. GENERAL REFUND POLICY
16.1 Except where required by Applicable Law, expressly provided in this Policy, or agreed in writing, paid Subscription fees are non-refundable once the applicable billing period has commenced.
16.2 Docsora does not ordinarily issue refunds solely because a Customer:
(a) Changes their mind;
(b) No longer needs the Services;
(c) Uses the Services infrequently;
(d) Does not use available features;
(e) Selects an unsuitable plan;
(f) Changes business priorities;
(g) Forgets to cancel before a valid renewal;
(h) Does not achieve an expected business outcome; or
(i) Cancels partway through a paid billing period.
16.3 These circumstances do not remove any refund or other remedy required by Applicable Law.
16.4 Docsora may approve discretionary refunds or credits on a case-by-case basis.
16.5 A discretionary refund does not establish a general entitlement to refunds in other circumstances.
17. REFUNDS REQUIRED BY LAW
17.1 Docsora will provide refunds or other remedies where required by Applicable Law.
17.2 Such circumstances may include:
(a) Unauthorised charges;
(b) Verified billing errors;
(c) Failure to honour a valid cancellation;
(d) Material failure to provide paid Services as legally or contractually required;
(e) Misrepresentation;
(f) Applicable statutory cancellation rights; or
(g) Other circumstances recognised by Applicable Law.
17.3 No provision of this Policy removes mandatory consumer protection rights.
17.4 Where a statutory remedy applies, Docsora will not rely on its general non-refund policy to deny that remedy.
18. UNUSED SUBSCRIPTION PERIODS
18.1 Customers are not ordinarily entitled to refunds for unused portions of monthly or annual billing periods.
18.2 Subscription fees are charged for access to the applicable Services during the purchased period, rather than solely for actual usage.
18.3 Failure to use available functionality does not automatically entitle a Customer to reimbursement.
18.4 This Section is subject to Applicable Law and any expressly agreed service commitments.
19. DUPLICATE OR INCORRECT CHARGES
19.1 Customers should promptly report suspected duplicate or incorrect charges to contact@docsora.com.
19.2 Docsora will investigate the relevant transaction.
19.3 Where a billing error is verified, Docsora will correct it and provide any refund or other remedy required by Applicable Law.
19.4 Docsora may request reasonable supporting information to identify the transaction.
19.5 Refunds will ordinarily be processed through the original payment method where technically available and legally appropriate.
20. UNAUTHORISED TRANSACTIONS
20.1 Customers who believe a payment was unauthorised should notify Docsora promptly.
20.2 Docsora may investigate the transaction and cooperate with the relevant payment provider.
20.3 Customers retain their lawful rights to report unauthorised transactions to their bank, card issuer, or payment provider.
20.4 Nothing in this Policy requires Customers to waive statutory payment dispute rights.
20.5 Verified unauthorised charges will be addressed in accordance with Applicable Law and the relevant payment arrangements.
21. REFUND REQUEST PROCEDURE
21.1 Customers may submit refund requests to:
contact@docsora.com
21.2 Requests should identify the relevant Account, transaction, and reason for the request.
21.3 Docsora may request reasonable information necessary to investigate the matter.
21.4 Refund requests will be assessed according to this Policy, the applicable agreement, and Applicable Law.
21.5 Where a refund is approved, it will ordinarily be issued to the original payment method where technically available.
21.6 Processing times may depend on the relevant payment provider or financial institution.
21.7 Docsora will not impose a contractual deadline that removes a Customer’s non-waivable statutory right to seek a refund or dispute a charge.
PART D - PLAN CHANGES
22. UPGRADES
22.1 Customers may upgrade to a higher plan or add eligible paid functionality.
22.2 The applicable upgrade price and effective date will be disclosed before confirmation.
22.3 Upgrades may take effect immediately or at another disclosed time.
22.4 Where applicable, a prorated charge may be applied.
22.5 Upgrades do not automatically create refund entitlements for previously purchased Services.
23. DOWNGRADES
23.1 Customers may downgrade their Subscription through supported Account functionality.
23.2 Unless otherwise disclosed, downgrades take effect at the end of the current paid billing period.
23.3 Downgrades may reduce available features, storage allowances, or usage limits.
23.4 Customers are responsible for reviewing the consequences of downgrading.
23.5 Docsora does not ordinarily provide prorated refunds solely because a Customer downgrades during an active billing period.
23.6 Mandatory statutory rights remain unaffected.
24. CUSTOM SUBSCRIPTION PLANS
24.1 Docsora may offer configurable plans allowing Customers to select particular Services or features.
24.2 The applicable price is determined by the selected configuration and disclosed billing arrangement.
24.3 Custom paid Subscriptions renew automatically according to the selected monthly or annual billing interval unless cancelled.
24.4 A new service agreement is not required at each renewal.
24.5 Customers may modify eligible plan components through supported Account functionality.
24.6 Changes may result in additional charges or adjustments at the next billing period, as disclosed before confirmation.
24.7 Removing features does not automatically entitle the Customer to a refund of previously incurred charges.
PART E - PAYMENT FAILURES AND DISPUTES
25. FAILED OR DECLINED PAYMENTS
25.1 If a recurring payment fails, Docsora may notify the Customer.
25.2 Customers may be asked to update their payment information.
25.3 Docsora or its payment provider may retry payment collection where authorised and legally permitted.
25.4 Continued payment failure may result in restriction, suspension, downgrade, or termination of paid functionality.
25.5 Customers remain responsible for valid outstanding fees.
25.6 Docsora will comply with applicable notice and consumer protection requirements.
26. CHARGEBACKS
26.1 Customers are encouraged to contact Docsora before initiating a payment dispute where practical.
26.2 This does not restrict lawful chargeback or payment dispute rights.
26.3 Docsora may investigate disputed transactions and provide relevant records to the payment provider.
26.4 Docsora may contest chargebacks it reasonably believes are invalid.
26.5 A good-faith payment dispute does not, by itself, constitute a breach of this Policy.
26.6 Docsora may take proportionate action where credible evidence establishes payment fraud or abuse.
26.7 Docsora may seek recovery of legitimately outstanding amounts through lawful procedures.
PART F - PROMOTIONS AND ADDITIONAL PURCHASES
27. PROMOTIONS AND DISCOUNTS
27.1 Promotional offers may be subject to specific eligibility conditions, duration limits, and disclosed terms.
27.2 Promotional pricing will apply according to the relevant offer.
27.3 Where a promotional price changes after an introductory period, the applicable future pricing arrangement will be disclosed as required by Applicable Law.
27.4 Docsora may modify or discontinue promotional offers prospectively.
27.5 Existing contractual rights and mandatory consumer protections remain unaffected.
28. ADDITIONAL STORAGE AND ONE-TIME PURCHASES
28.1 Docsora may offer additional storage, usage allowances, credits, or other separately priced functionality.
28.2 The applicable price and purchase conditions will be disclosed before confirmation.
28.3 One-time purchases do not automatically create a recurring Subscription unless expressly disclosed and authorised.
28.4 Refund eligibility is governed by the applicable purchase terms and Applicable Law.
28.5 Docsora will not impose undisclosed recurring charges or expiration conditions.
PART G - SERVICE CHANGES AND DATA
29. SERVICE INTERRUPTIONS
29.1 Temporary maintenance or isolated technical issues do not automatically create a refund entitlement.
29.2 Docsora will assess reported issues in good faith.
29.3 Where the Services materially fail to conform to applicable contractual or statutory requirements, Customers may be entitled to an appropriate remedy.
29.4 Any separately agreed Service Level Agreement will govern applicable service credits or availability remedies.
29.5 Mandatory statutory rights remain unaffected.
30. SERVICE MODIFICATIONS OR DISCONTINUATION
30.1 Docsora may update, improve, replace, or discontinue features.
30.2 Where a material change adversely affects paid functionality, Docsora will provide notice and any remedy required by Applicable Law or the applicable agreement.
30.3 Routine updates and improvements do not automatically entitle Customers to refunds.
30.4 If Docsora permanently discontinues a paid Service before the end of an applicable paid period, it will provide any remedy required by Applicable Law or the relevant agreement.
31. ACCESS FOLLOWING CANCELLATION
31.1 Customers will ordinarily retain access to paid functionality until the end of their current paid billing period.
31.2 Following expiration, the Account may transition to an available Free plan, subject to applicable plan rules.
31.3 Free-plan storage and usage limits may restrict access to certain functionality.
31.4 Cancellation of a paid Subscription does not automatically constitute Account deletion.
31.5 Customers should export important documents before paid access ends.
31.6 Docsora does not guarantee indefinite retention of Customer Content.
32. ACCOUNT DELETION
32.1 Account deletion is separate from subscription cancellation.
32.2 Where an Account deletion request is accepted and processed, Docsora may apply a fourteen (14) day grace period.
32.3 Following the applicable grace period, eligible information will be handled according to Docsora’s deletion procedures.
32.4 Certain records may remain where required or permitted for legal, financial, security, or operational purposes.
32.5 Backup copies may remain temporarily according to applicable retention procedures.
32.6 Data handling is further described in Docsora’s Privacy & Data Protection Policy.
32.7 Nothing in this Section limits mandatory statutory deletion rights.
PART H - DOCSORA FLOWS PAYMENT REQUESTS
33. PAYMENTS REQUESTED THROUGH FLOWS
33.1 Docsora Flows may allow Customers to request payments using bank transfer instructions or external payment links.
33.2 These transactions are separate from subscription fees paid to Docsora.
33.3 Unless expressly stated in separate applicable terms, Docsora does not receive, hold, process, or settle the underlying funds between Customers and Recipients.
33.4 Refunds and disputes relating to those underlying transactions are the responsibility of the relevant Customer, financial institution, or external payment provider.
33.5 This Policy governs payments made to Docsora for its Services, not refunds owed by Docsora Customers to their own clients.
PART I - GENERAL PROVISIONS
34. TAXES AND CURRENCY
34.1 Applicable taxes will be charged or included as required by law.
34.2 Customers may incur independent currency conversion charges imposed by their financial institutions.
34.3 Docsora is not responsible for third-party bank or conversion charges except where Applicable Law provides otherwise.
34.4 Refunds will be processed according to Applicable Law and the relevant payment arrangements.
35. CONSUMER AND BUSINESS CUSTOMERS
35.1 This Policy applies to both individual and business Customers.
35.2 Certain rights may differ depending on the Customer’s jurisdiction and whether the purchase is made for personal or business purposes.
35.3 Mandatory consumer protection rights remain unaffected.
35.4 Business Customers may be subject to separately negotiated commercial terms.
36. GOVERNING LAW AND DISPUTES
36.1 This Policy forms part of Docsora’s Terms and Conditions of Use.
36.2 Disputes are governed by the applicable dispute-resolution provisions of those Terms, subject to mandatory consumer protection and payment laws.
36.3 Customers may contact Docsora to seek an informal resolution.
36.4 Nothing in this Policy restricts lawful rights to seek assistance from a competent court, regulator, bank, card issuer, or payment provider.
37. CHANGES TO THIS POLICY
37.1 Docsora may update this Policy to reflect changes in law, billing practices, Services, or operational requirements.
37.2 Material changes will be communicated with appropriate notice where required by Applicable Law.
37.3 Changes will not ordinarily apply retroactively to completed purchases or disputes arising before their effective date.
37.4 Where affirmative acceptance is required by Applicable Law, Docsora will obtain it.
37.5 Continued use following a validly notified change may constitute acceptance to the extent permitted by Applicable Law.
38. RELATIONSHIP WITH OTHER AGREEMENTS
38.1 This Policy should be read alongside:
(a) Docsora’s Terms and Conditions of Use;
(b) Docsora’s Privacy & Data Protection Policy;
(c) Applicable order forms; and
(d) Any separately executed enterprise agreement.
38.2 Where a separately executed agreement expressly establishes different billing or cancellation terms, that agreement prevails to the extent legally permitted.
38.3 Nothing in this Policy excludes non-waivable statutory rights.
